Folding Machines for Small Offices: A Buying Guide
If you're hand-folding invoices, statements or newsletters, a desktop folder can save hours every month. The right machine depends on which folds you need, how much you fold, and how hands-off you want setup to be.
The quick rule: match the machine to your monthly volume and the largest paper size you fold, then check that it handles your most common fold out of the box.
Fold types, explained
Letter (C-fold)
Two folds that tuck one panel inside. This is the standard fold for a #10 business envelope.
Z-fold (accordion)
Two folds in opposite directions. The address block stays visible, which suits window envelopes.
Half (V-fold)
One fold down the middle, for programs, cards and booklets.
Double parallel
Folded in half, then in half again. Common for brochures and menus.
Gate fold
Both outer panels fold in to meet in the middle. Usually found on automatic models.
What to look for
- Sheets per hour. Rated speeds assume a standard sheet and fold. Real-world throughput is lower once you count loading and setup.
- Duty cycle. This is the monthly volume the maker designs the machine for. Choose one rated comfortably above your busiest month.
- Feeder type and hopper size. Friction and roller feeders handle most office paper. A bigger hopper means fewer reloads.
- Manual vs automatic setup. Manual folders use marked fold plates you set by hand. Automatic folders set the plates from a menu and remember custom folds.
- Paper size and weight. Check the maximum size (8.5×14" vs 11×17") and the paper weight if you fold heavier stock.
- Stapled sets. Some folders take small stapled sets, fed by hand or with an optional feeder.
Models to consider
Grouped by type and listed alphabetically by brand within each group. The order is not a ranking, and we don't name a "best" model, because the right one depends on your volume and folds. Specs come from manufacturer spec sheets and manuals (linked), and "n/a" means the source didn't state it. We don't list prices, since they vary by retailer and dealer.
Entry desktop folders
Manual or push-button fold settings for letter- to tabloid-size sheets. Good for churches, schools and small offices folding letters and invoices a few times a week.
